About the Role

Professor Academy is looking for an enthusiastic and organized HR Assistant to support daily HR and administrative operations. This position is suitable for freshers who are interested in building a career in human resources.

Key Responsibilities

Recruitment Support

• Post job vacancies on job portals, social media, and other recruitment channels.
• Source and screen resumes based on job requirements.
• Contact candidates and conduct preliminary screening calls.
• Schedule and coordinate interviews with candidates and hiring managers.
• Follow up with candidates regarding interview status and joining dates.
• Maintain recruitment trackers and candidate databases.

Onboarding and Documentation

• Assist with pre-joining and joining formalities.
• Collect and verify employee documents.
• Prepare offer letters, appointment letters, ID cards, and other HR documents.
• Support employee induction and orientation programmes.
• Create and maintain employee personnel files.
• Ensure that employee records are accurate and updated.

Attendance and Payroll Support

• Monitor daily attendance, leave, permissions, late arrivals, and overtime.
• Prepare and verify monthly attendance and payroll inputs.
• Maintain leave and attendance records.
• Assist in processing salary revisions, incentives, deductions, and reimbursements.
• Respond to basic employee queries relating to attendance, leave, and payroll.

HR Operations

• Update employee databases and HR records.
• Prepare HR letters, certificates, notices, circulars, and internal communications.
• Assist with probation reviews and performance appraisal processes.
• Support employee confirmation, transfer, resignation, exit, and separation procedures.
• Maintain confidentiality of employee and organizational information.
• Prepare daily, weekly, and monthly HR reports.

Administration and Employee Engagement

• Coordinate employee ID cards, workstations, and company assets.
• Support office administration and workplace maintenance activities.
• Maintain records of office supplies and administrative requirements.
• Assist in organizing employee engagement activities, meetings, training programmes, and company events.
• Coordinate with departments and service providers whenever required.

Eligibility Criteria

• MBA in Human Resource Management is preferred.
• Basic proficiency in MS Excel, Word, and PowerPoint.
